Hiring a freelance HR software developer

HR software holds salary figures, personal documents and disciplinary records, so the hiring question is access. Who can read the payroll table, and what stops a contractor from keeping a copy after the project ends.

Development runs against seeded test data, not your real employee records. Production credentials stay with you, access is time-boxed to what a task needs, and role-based permissions plus an access audit trail are built into the application itself rather than added later. When the engagement ends, my access ends with it and the log shows exactly what was touched.

Frequently asked questions

Is free HR software good enough for a small factory?

For a handful of salaried staff, yes. Free tiers break down once you have contract labour on daily wages, shift rosters, overtime at statutory rates, and PF and ESI to compute, because most free tools are built for office headcount rather than a factory floor.

Can it sync with our biometric attendance machine?

Yes. Most ZKTeco, eSSL and Realtime devices expose punch logs over the network or as exports, and those feed attendance directly so nobody transcribes a register into a spreadsheet.

Can it calculate PF and ESI automatically?

Yes, against current wage ceilings and contribution rates, with employer and employee shares split correctly. Output comes out in the formats the ECR and ESI returns need.

Can it track daily wages for contract labour?

Yes, and this is usually the reason a factory outgrows a free tool. Daily-wage workers are tracked per shift with attendance-linked payouts, separate rates per contractor, and a payable register per contractor rather than per employee.

How do you stop proxy attendance punching?

Biometric capture rather than a card, GPS-fenced mobile punching for field staff, and flagged anomalies such as one device recording several people inside a few seconds. No system stops it entirely, but it becomes visible rather than invisible.

Can it generate wage registers for inspection?

Yes. Muster roll, wage register, overtime register and Form 16 style statements generate from the same attendance and payroll data the system already holds, in the formats an inspection expects.

Can staff apply for leave from their phones?

Yes. Employees apply, check balances and view payslips on a phone. Approvals route to the right manager and adjust the roster and payroll automatically once granted.

What should a factory HR portal cover at minimum?

Attendance from the biometric device, shift rosters, leave with balances, overtime at statutory rates, payroll with PF and ESI, and a payslip employees can see themselves. Everything beyond that is useful but optional.

Is it safe to give a freelance developer access to HR and payroll data?

It should not be necessary. I build and test against seeded data rather than real employee records, production credentials stay with you, and every access is logged. Role-based permissions are part of the application from the start.

Can it handle Indian payroll rules?

Yes. PF, ESI, TDS and other statutory deductions can be configured based on your company structure.
